The Role
The Business Support Officer with a23 is a full-time position in our growing company with a focus to contribute to the objectives of the Corporate team in the areas of business operations, administration and ad hoc support.
This role is a fixed term full time maternity leave position for a period of 12 months with the potential of extension and/or permanency based on business operations.
Role responsibilities

General Office Support
|
- Coordinate Printing: ordering of business cards and marketing material as required.
- Branded Merchandise: ordering of approved items via suppliers, monitoring of stock levels.
- Stationery and Kitchen stocktake and order of supplies (Drinks soft and hard, snacks), weekly milk and fruit.
- Monitor levels of stock presented for team and restocking from supply cupboard.
- Placing, receiving and replenishing stock levels through Coles online orders.
- Monitor and dispose of expired items from the fridge (i.e. milk past expiry date) and fruit bowl (i.e. fruit past its best).
- Disposal of technology equipment in alignment with environmental and security policies.
- Monitor and proactive action of Corporate team shared mailbox i.e. Contacts inbox.
- Facilitate and finalise travel arrangements for the a23 team in alignment with corporate travel policy.

Facilities
|
- Maintain internal registers i.e. building pass access, regular asset audits.
- Working with Talent and Culture Manager to maintain WHS requirements for building including documentation and record keeping.
- Building contact for all issues, passes, Loxone pin, comms to team on maintenance and access.
- Update a23 workers regarding ongoing maintenance works and access (i.e. escort visitors).
- Proactive update and advocacy of self-service hot desk and car park system (Skedda).
- Greet, sign in and escort visitors using visitor registration system.
- Monitoring of AusPost mailbox.
- Assist in setup of new Brisbane office.
- Manage meeting room bookings for Sydney and Brisbane offices.

Marketing and Event Coordination
|
- Assist with arrangements for internal a23 events such as but not limited to the a23 EOFY party, a23 Christmas parties, sales events and conferences. This including venue and event management such as following up attendees, coordinating catering tailored to dietary requirements.
- Assist with arrangements for externally hosted events such as invitation creation, attendee management, catering and event communications.
- Contribute to external a23 identity and brand including website, conferences, trade fairs, LinkedIn etc.
- Contribute to internal communications framework including monthly newsletter, intranet content, quarterly town hall etc. alongside Talent and Culture Manager and CEO.
- Coordination of marketing materials – brochures, business cards, branding merch, monitoring stock levels etc.
- Develop and implement a23 content in collaboration with Marketing and Talent and Culture Manger. i.e. LinkedIn, Canva.
- Answer and direct incoming calls on 1800 a23 number.

Finance
|
- Liaise and follow up on outstanding purchasing orders, quotes and invoices and update Xero with comments.
- Review and approval of staff expense claims.
- Liaise and follow up on supply chain order fulfillment.

Internal Project Assistance
|
- Contribute to various internal projects as require regarding business improvement.
- Recruitment including calling candidates, scheduling interviews with coordination of calendars, creation and maintenance of a23 branded resumes for potential and existing a23 team.

Skills, Experience and Qualifications
- No Australian Government Security Clearance required for this role.
- Experience or ability in the provision of Business Support and administration in the areas of operations, facilities, administration, event management and recruitment.
- Ability to utilise Microsoft Suite (including Outlook, Teams, Word, Excel and PowerPoint) to contribute to the objectives of the Corporate team.
- Ability to adapt to changing priorities and work effectively in a fast-paced, dynamic environment.
- Excellent communication and interpersonal skills, with the ability to effectively collaborate with internal teams and external stakeholders.
- Maintain relevant professional certifications to enable the delivery of professional services offered by A23.
a23 Policy Handbook and Mandatory Training
On commencing with a23, all employees and subcontractors are provided with the a23 Policy Handbook and asked to acknowledge their understanding and commitment to adhering to its policies. All employees and subcontractors are also assigned a suite of mandatory training that is required to be completed on an annual basis. All a23 workers are to take all reasonable care of their own health and safety and ensure that their actions do not adversely affect the health and safety of others.
